Staff should learn it in one shift

Small teams change often and train on the job. If a new starter cannot take an order confidently by the end of their first shift, the system will cost you in mistakes.

Card payments should be integrated, not separate

When the till sends the amount to the card terminal, nobody keys the wrong figure and the end-of-day totals agree. A standalone card machine is fine to start, but it is a daily reconciliation job.

Daily reports should take a minute

An X report during the day and a Z report at close, showing takings by payment type, refunds and discounts. If the numbers take longer to find than to count the drawer, the system is too complicated.

Should a small business buy outright or use finance?

Buy outright if you can do so without straining cash flow, because it costs less in total. Use finance if keeping cash in the bank matters more in your first months — a new business paying for fit-out, stock and deposits at the same time often does better spreading the till.

How do I work out the payback on a POS system?

Divide the upfront cost by the extra gross profit the system earns or saves each month, after its own monthly fee. The result is the number of months it takes to pay for itself.

For illustration only — replace these with your own numbers. Suppose faster service and fewer missed or mis-keyed orders add 10 orders a week at £5 gross profit each. That is £50 a week, or about £217 a month. Take off £25 for software and £192 a month is left to pay back a £499 system — roughly 3 months.

The inputs that move the answer most are gross profit per order (not sale price) and how many orders you genuinely gain or stop losing. Be conservative: if the system only pays back on optimistic numbers, buy a smaller setup.
